Food Tray Sourcing: The Spec Check That Cut My Landed Cost 17%
The short answer: fix the spec before you chase the price
If you're buying a pp food tray, deep cpet trays, or a two-compartment pet tray container, the cheapest quote is usually the most expensive one. The fix isn't better negotiation. It's a better spec sheet. In 2024, I reviewed $1.9M in tray and lidding spend across 14 suppliers. After we added a 9-point pre-RFQ check (the kind that fits on one page), landed cost dropped 17% and rework dropped 31%.
That check matters even more when you add map container requirements, food grade pet film sheet lidding, or a sustainable vsp tray supplier into the mix. Those variables change seal strength, shelf life, tooling, and freight—not just unit price.
Why I trust this number
I'm a procurement manager at a 150-person food co-packing company. I've managed our packaging budget—$2.4M annually—for 7 years. I've negotiated with 40+ vendors and documented every order in our cost tracking system. My job isn't to find the lowest quote. It's to find the lowest total cost of ownership that still passes QA.

Where food tray costs hide
Most quotes look clean. The problems show up later. Here's what I track now:
- Tooling and setup: Thermoform tooling for a new deep CPET tray can run $3,000-$15,000. Some suppliers amortize it; others bill it upfront. Ask whether the tool is yours, shared, or proprietary.
- MOQ and shelf life: A sustainable VSP tray supplier may require 50,000+ units per SKU. If your SKU turns slowly, you're paying for warehousing and obsolescence.
- Lid film compatibility: Food grade PET film sheet is not interchangeable across sealers. A 2-mil film may seal at 180°F on one machine and fail at 220°F on another.
- Freight and cube: Deep trays nest differently. A 15% better cube can save more than a 5% unit discount.
- Damage and rework: Cracks, haze, and weak corners are often invisible in a sample. They show up in a 10,000-unit run.
In my January 2025 quote review across 14 suppliers, common ranges looked like this: PP food trays around $0.08-$0.18 each at 50,000 volume; deep CPET trays $0.25-$0.65; two-compartment PET tray containers $0.12-$0.30; food-grade PET film sheet $0.04-$0.09 per lid depending on gauge and barrier (verify current pricing). These are starting points, not quotes.
The 9-point pre-RFQ checklist
Prevention beats cure. Five minutes of verification beats five days of correction. This checklist has saved us an estimated $8,000 in potential rework over two years.
- Food-contact compliance: Confirm FDA 21 CFR or EU 10/2011 compliance for the resin, colorants, and film. Get a letter of guarantee, not a website claim.
- Temperature range: PP food trays handle microwave and hot-fill better than standard PET. Deep CPET trays are designed for oven and freezer-to-oven use. Don't assume.
- Barrier needs: If you need a MAP container, ask for oxygen transmission rate and moisture vapor transmission rate data. EVOH or multilayer structures change cost and recyclability.
- Seal window: Test your actual food-grade PET film sheet on the actual tray and sealer. Run a DOE, not a hand-seal sample.
- Dimensions and tolerance: Check cavity volume, flange width, corner radius, and denesting force. A 1mm flange difference can jam a filling line.
- Compartment performance: For a two-compartment PET tray container, verify wall thickness between compartments and leakage under tilt. Mixed meals are unforgiving.
- Sustainability claims: If you're evaluating a sustainable VSP tray supplier, ask for third-party certification, PCR percentage, and actual recycling pathway. Avoid vague eco-friendly language.
- Logistics: Calculate landed cost with freight, pallet pattern, and warehousing. Ask for a cube test before you commit.
- Pilot run: Run at least one full shift with production speeds and real food product. Document seal strength, leak rate, and line stoppages.
What I'd do differently
I have mixed feelings about sustainable VSP tray suppliers. On one hand, mono-material trays simplify recycling and reduce material complexity. On the other, they often run slower and cost 10-20% more upfront. I compromise by piloting one high-volume SKU before moving the whole portfolio.
I also used to treat MAP container specs as a QA problem. Now I treat them as a procurement problem. If the barrier film, tray, and sealer aren't specified together, you'll pay for it in rejected product.
5 minutes of verification beats 5 days of correction.
When this approach doesn't fit
To be fair, the checklist is overkill for very small runs or truly commodity trays. If you're buying 500 PP food trays for a short promotion, a basic food-contact certificate and a sample may be enough. Granted, you'll still need to check dimensions and temperature limits.
Also, if your product is dry and shelf-stable, you may not need MAP or high-barrier film. Don't pay for barrier performance you don't need. The goal isn't the most rigorous spec. It's the right spec for your product, volume, and risk.
